Most of a support team's day is typing replies to customers who wrote in. The same answers go out every day, then the "any update on my order?" follow-up arrives, then a thank-you that reopens the ticket. Every one of those replies has to sound like your company.
In a support team, customer communication automation means AI answering and following up on the messages customers send you. Marketing campaigns and lifecycle emails belong to your marketing tools.
I'm Mike, co-founder of My AskAI, which is one of the seven tools below. We help 200+ ecommerce and SaaS businesses run AI customer service inside the helpdesk they already have.
I've scored seven tools on the six things a tool needs to get right before you let it talk to customers, and priced each one at 2,000 conversations a month. At that volume, a team answering every message by hand spends an estimated $4,480 a month of agent time, at 5 to 6 minutes a conversation and about $24 an hour. You can also go live gradually: YouGarden, an online garden center, ran its AI as drafts for a month before letting it reply to customers directly.

  • Zendesk AI agents - best for a log of what the AI did - Keeps answering later emails in the same ticket and logs its actions and messages for review. It's the highest bill here at $2,170 a month.
  • Help Scout - best for a low-cost AI chat assistant - Answers in the website and in-app chat widget from your docs. Email replies are listed as coming soon, so the AI can't answer your inbox yet.

What does automating customer communication actually require?

TL;DR: The AI has to send replies itself where you let it, keep the conversation going, sound like your team, get the facts right, tell customers where things stand and hand over cleanly.
From the customer's side of the inbox, a conversation needs six things to go right, and I scored every tool against each of them.

1. It sends the reply itself, on email as well as chat, and you choose where it only drafts

The first thing I look at is whether the AI answers the customer directly, with the option to keep chosen channels or topics as drafts while the rest go straight out. A draft for an agent to check saves typing, and the customer waits until a person sends it.
Intercom Fin and Zendesk's AI agents send emails themselves, and Freshdesk's Email AI Agent sends too, with no approve-before-send mode shown on its setup pages. Help Scout's AI agent answers in chat, with email listed as coming soon.

2. It keeps the conversation going

For me, the follow-up matters more than the first answer. A good AI answers the follow-up in the same thread with the earlier messages in view, and asks a clarifying question when the first message is vague.
If the AI repeats its first answer, or stops after the first email and leaves the reply for a person, your customer waits hours for a real answer.

3. It sounds like your team

You should be able to set tone, sign-offs and words to use or avoid in plain language, without a developer or the vendor's help. For answers that must never vary, such as a returns policy or legal wording, you also need a way to fix the exact words.
YouGarden, one of our customers, used written guidance to get replies on-brand, with the reply structure and sign-offs it wanted and clarifying questions where needed. Its Head of Customer Service, Mamunur Rahman, said:
"What impressed us most was how accurately the AI reflects our tone, policies, and product knowledge."

4. It gets the facts right, and you can see why it said what it said

Answers should come from your help center, documents and past tickets, so the AI knows how your team handles things. When a reply is wrong, someone on the team needs to see which source or rule the reply came from and fix it in minutes.
Only your team sees that reasoning (customers see just the reply), and checking it is how you decide which topics the AI can answer on its own.

5. It tells customers where things stand

For a "where's my order?" or "has my refund gone through?" message, the AI should answer with the customer's real status, which means it needs to read your store, billing or account system for a verified customer. 6. It knows when to stop and hands over cleanly

When the AI can't help, or the customer asks for a person, it should pass the conversation over with a short summary so your agent doesn't have to read the whole thread. Then it should stop replying.
If it keeps going after a person steps in, the customer gets two different voices answering in one thread.

How did I score these tools for customer communication?

Where a tool only drafts on a channel, I've scored it low on sending for that channel. Five of the seven are the AI built into a helpdesk (Intercom, Zendesk, Freshdesk, HubSpot and Help Scout), and two plug into the helpdesk you already run (My AskAI and eesel AI).
The scores and prices come from each vendor's help-center pages, product documentation and published pricing pages, on the plan a team handling 2,000 conversations a month would buy. Here are the eight criteria, in priority order:
  • Sends replies itself - answers the customer directly on email and chat, and lets you keep chosen topics or channels as drafts.
  • Keeps the conversation going - answers follow-ups in the same thread and asks clarifying questions.
  • Sounds like your team - plain-language tone and wording rules, fixed wording for set answers, and sign-offs.
  • Gets the facts right - answers from your help center, documents and past tickets, and shows your team why it said what it said.
  • Tells customers where things stand - live order, account or request status inside the reply, on the plan you'd buy.
  • Hands over cleanly - a summary for the agent, and the AI stops replying after handover.
  • Setup effort - how quickly a support lead can go live and how much developer time it needs, assuming your team uses AI to write the rules and review drafts.
  • Monthly cost at 2,000 conversations - the AI charge on the lowest plan that covers the volume, including every upgrade or add-on the scores above rely on.
In my scoring, a 10 means the capability is included on the plan a typical team would buy, with nothing extra to build. Points come off for a plan upgrade, an add-on, a feature the team has to build, or a channel the AI can't answer on. For cost, most of the score comes from the monthly figure, and points also come off for an upgrade or one-time fee, or for a bill that can stop the AI mid-month. The Overall figure is the sum of all eight (so the maximum is 80).

My AskAI leads because it fully covers all six capabilities on the plan a typical team buys, where Intercom Fin and eesel AI come next with five. Our $539 bill is also the lowest of the tools here that answer email as well as chat. It scores 10 on sending, two points clear of the next tool, and 9 on handing over, where Freshdesk's email summary comes closest.
Intercom Fin is second. It has the top score on keeping the conversation going, because it asks clarifying questions on email by default, but loses points on handover, where the automatic summary needs the Expert plan. Third is eesel AI, whose 9 on sounding like your team comes from a simulation no other tool here offers: it scores its replies against what your team sent. Sending replies has the widest gap (from 3 to 10), so the first thing to settle is whether a tool answers customers itself or leaves the reply for a person, as the spread on each criterion shows:

Where does automated customer communication go wrong?

TL;DR: The AI fumbles the follow-up, it doesn't sound like you, or it tells a customer something confidently wrong.
I look for all three in every trial, because each one shows up within a few real tickets.

Failure mode 1: It answers the first email and fumbles the reply

The customer writes back and gets the same answer again, or the AI only answers the first message and the reply waits hours for a person. One store owner described an AI that kept looping the same answers and upsetting customers as a result.
In the trial, ask the vendor to run a full back-and-forth on a real past thread, ideally one that opens with a vague message, and judge the tool on the second and third replies.

Failure mode 2: It doesn't sound like your company

It shows up as over-apologizing, the wrong sign-off, wording your policy team would never approve, or a chatty tone on a formal brand. On the same thread, another store owner said the AI's replies felt too robotic and customers kept asking for a human.
The way around it is tone rules you write in plain language, fixed wording for sensitive answers, and a period of drafts on real tickets before customers see anything. One of our customers, YouGarden, ran drafts in Freshdesk this way before switching on direct replies.

Failure mode 3: Confident and wrong

In a news report on one tribunal ruling, an airline's support chatbot had promised a customer a discount worth more than $600, and the tribunal held the airline responsible for everything on its website. An AI incident database entry describes a software company's AI support bot inventing a login policy that didn't exist, which reportedly led to subscription cancellations.
In a thread where support leaders compare drafts with autonomous replies, one commenter made the point that a single confidently wrong reply costs more than the time the AI saved. Guard against it with answers from live data on status questions, a way for your team to see why the AI said what it said, and fixes that take minutes.

Who's using My AskAI to automate replies?

YouGarden, an online garden center on Freshdesk, ran the AI in notes mode for a month, then switched on direct replies. It now resolves 66% of conversations with AI, up from about 60% at go-live. TravelJoy, an all-in-one platform for travel advisors, sent direct replies in Zendesk Messaging from day one while the AI drafted notes on email tickets, and resolves 80% with us.
The premium accessories brand, on Gorgias and handling about 2,900 tickets a month, split its setup by channel. Chat replies go direct to customers, email is drafted for a person to sign off, and it uses all three guidance types to resolve 64% with AI.

What does My AskAI cost at 2,000 conversations a month?

Our Pro plan is $199 a month including 1,000 credits, then $0.12 a credit (the $0.10 rate is on our Scale plan). An email conversation costs 1 credit for the first reply and half a credit for each follow-up, and chat costs half a credit per AI reply. How does Intercom Fin handle replies, follow-ups and handover?

Fin sends replies on chat and, once you set it up for email, over email too, scoped by audience or support topic. Sending gets an 8, since drafts for agents need Copilot, a separate add-on at $35 per agent a month billed monthly.
Fin leads on follow-ups, with a 9 against our 8. By default Fin asks a relevant question to keep the conversation going, asks the customer to clarify when a message is unclear, and takes their reply in the same email thread.
Tone comes from five tone presets and three answer lengths, plus plain-language Guidance per channel and audience, and your email signature. It scores 8 on sounding like your team because the tone and Guidance settings set the style of each reply but offer no word-for-word answers for set questions. Every Fin email also includes a sentence saying it was written by AI.
Fin gets a 9 on facts: it learns from articles, PDFs, URLs and past conversations, and the test view shows which source or setting an answer came from. Live status comes through data connectors your team builds against your systems, so status is a 7 (ours is an 8, because User Data is included and Shopify is pre-built).

Lightspeed publishes a resolution rate of up to 65% with Fin. At Rocket Money, Fin is involved in over half of all conversations and resolves 68% of them.

What does Intercom Fin cost at 2,000 conversations a month?

Fin is $0.99 per outcome, charged once per conversation however many questions it answers. I've priced 1,000 resolved conversations, which comes to $990 a month on the Intercom helpdesk, with follow-ups adding nothing. On another helpdesk it's a $49 base including 50 outcomes, then $0.99 each, which comes to $989.50.
An outcome also counts when the customer doesn't ask for more help after Fin responds, so billed outcomes can run above true resolutions. I've given cost a 7 because the bill is predictable and self-serve but nearly double ours, with no outcomes included.

Each automation pairs a helpdesk trigger with instructions that describe which tickets it handles, by group, tag or language. Each one can send the reply, leave an internal note, or hold a draft until a person approves it, on email tickets and live chat. Sending scores 8, level with Fin, Freddy and HubSpot and two points below our 10.
A trigger on every customer message keeps it answering follow-ups in the thread, and a ticket's back-and-forth costs one credit. It gets a 7 on keeping the conversation going because, on a very long Freshdesk ticket, it reads the 40 most recent messages and says how many older ones it left out.
Tone and sign-offs are written as plain-language rules, and corrections you make in chat, such as "too formal" or "wrong sign-off", are saved as new rules. Its simulation replays your past tickets and scores its answers against what your team sent, split by theme. Its 9 on sounding like your team comes from that simulation. For a cautious team, I'd rate it the most useful check in this set before go-live.
Facts also score 9, since eesel AI learns from your help center, macros and past tickets, names the article it used under each draft and logs its reasoning.
It looks up Shopify orders and tracking on every plan (a person approves the connection first), so status is a 7. Handover is where you do more of the work. You write when it hands over and what the note should say, and keeping it out of an email ticket once a person has it is also a rule you write, so handing over is a 6. eesel AI charges 1 credit per ticket or chat (however many replies go back and forth), and every ticket it works is billed. The 2,000 conversations use 2,000 credits, so the lowest plan that covers them is 2,500 credits at $999 a month. The 1,500-credit plan plus overage would cost $1,099.

How does Freshdesk Freddy AI handle replies, follow-ups and handover?

The Email AI Agent reads each ticket and sends its reply inside the existing thread, from the address the customer wrote to. You choose which tickets it takes by type, priority, source or customer segment, with a confidence threshold and a daily reply cap. Freshdesk's setup pages show no approve-before-send mode, and drafts for agents come from Copilot, a paid add-on on Pro and above, so sending is an 8.
It reads the full thread and answers follow-ups in the same ticket (handing over after a set number of turns). Its email pages don't name clarifying questions as a behavior, so it's an 8 on keeping the conversation going.
Freddy scores 9 on sounding like your team, with the most detailed tone rules in the set. You write tone, formality, length and phrases to prefer or avoid, and every AI email gets your sign-off block and a legal footer. It answers from articles, files, URLs and Q&A pairs, with citations and a test view of which sources fired, but past tickets are used for testing only, so facts are a 7.
Live order and refund status comes through chat workflows on Omni (for Shopify, Magento or BigCommerce stores), and Freshdesk's email pages show no lookup inside an email reply, so status is a 6. On email handover, it adds a private note summarizing the conversation, and one click on "Stop responding & assign to me" takes it out for good. On chat, a summary exists only if you build it into a workflow, which keeps handover at 8. Setup is a 7: a no-code studio with a pilot for internal teams, but previewing uses paid sessions and order-status workflows are an extra build.

Freddy bills sessions at $49 per 100. An email session is a 72-hour window from the customer's first email and a chat session is 24 hours, so I've counted each conversation as one session. That's 2,000 sessions, or $980 a month, whether or not the AI resolves them.
Moving five agents from Freshdesk Growth to Omni Growth for chat and status adds $12 each, or $60, for $1,040 a month. The 500 free sessions are a one-time allowance for new customers, so they don't lower the monthly bill. Paying per session regardless of outcome, plus the upgrade, is why cost scores 5 (ours is 9).

It sends on email, live chat, forms, WhatsApp and Facebook, and you choose which conversations it takes by channel or by workflow rules such as customer tier or issue type. Drafts for reps come from reply recommendations, which use no credits but only appear on a narrow set of tickets, so sending is an 8.
Based on its confidence, it answers with a source, asks a follow-up question to clarify, or hands the conversation to a person. Email threads continue in the same conversation, but HubSpot only mentions that in its billing rules, so it's a 7 on keeping the conversation going (a point behind our 8).
Guidelines set communication style, guardrails and custom rules for each customer group, and replies use your team's email signature. HubSpot notes that replies may not always match the specified wording exactly, which keeps it at 8. On facts it's an 8: it answers from knowledge base articles, web pages, files and short answers, can draft Q&A from past tickets for you to review in a beta, and shows why it responded in testing.
For status, it reads CRM fields such as an order number after checking who the customer is, and it can check an external order system through an action someone technical sets up, so status is a 7. Handing over scores 5 (the lowest in the set), because the handoff settings cover triggers, routing and a status field, with no AI-written summary for the rep. Setup scores 7: it's guided, with test and batch-test tools, but a team new to Professional pays a required $1,500 onboarding.

What does HubSpot's customer agent cost at 2,000 conversations a month?

The customer agent is priced per resolved conversation at $0.50, charged as 50 credits at $0.01 each. A resolution means the conversation wasn't handed to a rep for 72 hours. At 1,000 resolutions that's 50,000 credits, and after the 3,000 included on Professional (shared with HubSpot's other AI features), 47,000 × $0.01 is $470.
A team on Starter also needs Professional, which costs $100 a seat on monthly billing against Starter's $20. For five agents, I've added the $400 seat upgrade, for $870 a month, plus a one-time $1,500 onboarding fee. Paying only on resolutions helps, but the upgrade and onboarding are why cost scores 6.

The AI agents reply as actual emails that arrive in the customer's inbox, and on messaging too. Sending is a 7, because some emails, such as sales messages, are sent to a person before the AI engages (with no setting to change that). Drafts for agents also come from Copilot, an add-on on Professional and up at $50 per agent a month billed annually.
It's an 8 on keeping the conversation going. By default the email AI agent answers the customer's later emails in the same ticket and keeps responding until the conversation ends, or you can stop it after a set number of topics.
You can set the AI agent's identity, tone of voice and formality and give it instructions, with template replies in escalation flows. A signature needs a named sender, which uses up an agent seat, so it's a 7. Facts get a 6: it answers from Zendesk help centers and external content (brought in by a crawler or a connector), with no past tickets in the list, though the logs show what it used.
Actions let it check your systems on Team plans and up, built by your team, so status is a 7. After escalation it stops replying, and it can collect an order number or email before handing off. Zendesk bills per automated resolution at $2.00 pay-as-you-go, with 5 resolutions included per agent. With five agents, that's (1,000 − 25) × $2.00, or $1,950, and follow-ups add nothing. The $1.50 committed rate needs a volume commitment, so I haven't used it.
Chat is 800 of the 2,000 conversations, and Suite Team is the lowest plan with AI agents on messaging. In chat, one session can carry several questions and the AI asks clarifying questions, but with no email there are no email follow-ups, so keeping the conversation going is a 6. Sounding like your team is also a 6, since tone and style come from the agent's identity settings (with fixed text for set moments such as the greeting), and per-context voice is listed as coming soon.
It answers from Docs sites, public websites, PDFs and Google Docs, and shows a breakdown of the sources behind each conversation. Past conversations as a source are listed as coming soon, and website sources need resyncing by hand, so facts are a 6. Every row assumes the same month: 2,000 conversations, 1,200 by email and 800 by chat. Each email averages two AI replies (the first and one follow-up), each chat three, and the AI resolves half of all conversations. For any plan upgrade, I've assumed five agents on monthly billing.

Every AI row comes in well below the no-AI line, and Zendesk is the only one near half of it. If the AI resolves 1,000 conversations at $2.24 each, it takes on roughly $2,240 of that $4,480 in agent time. With us, that's about $1,700 a month left over after the $539 AI charge.

My AskAI leads on 70 because it fully covers all six capabilities, with send or draft set per channel, a summary at handover and the AI staying out afterwards. We do that inside the helpdesk you already run, at the lowest bill of any tool here that answers email as well as chat.
Intercom Fin is second on 61, with the best follow-up handling in the set, so it suits a team whose customers write long email threads. Third on 59 is eesel AI, whose simulation against your team's past replies is the strongest check here before go-live. If your helpdesk's AI already sends and follows up well, as Freddy does on email, and your gaps are elsewhere, staying put is a sensible call.

Will the AI keep our tone of voice?
It can, if you write the rules down. Six of the seven tools let you set tone, sign-offs and words to avoid in plain language, and Help Scout's tone settings are more limited. Run drafts on real tickets first and adjust the rules from what your agents change.
