What does automating canned responses actually require?

Reading the ticket, choosing a canned response and fixing it take most of the three minutes. Handing that work to AI is five separate jobs, and these are the five I scored every tool against.
1. It sends the reply to the customer itself
This is the job that removes the wait. The AI reads the ticket, sends the reply on email or live chat itself, and answers the customer's next message in the same thread.
Zendesk's suggested macros and Freshdesk's canned-response suggester stop one step short: both put a template in front of an agent, who still reads, edits and sends it. When a canned response doesn't fit, an agent usually notices before sending. An AI that sends replies has no one in that seat, so these are the three failures I'd test for in any demo.
Failure mode 1: It sends a template-shaped reply to the wrong question
The reply matches a keyword in the ticket instead of what the customer asked. The customer writes back annoyed, and your team picks up a ticket that's now angrier than when it arrived.
One Zendesk admin described the cleanup that follows:
Good behavior is an answer to the question asked, and a clarifying question or a handover when the AI isn't sure. My favorite demo test is a question that shares words with one of your canned responses but needs a different answer.
Failure mode 2: It repeats what an out-of-date canned response still says
Your library brought last year's returns window or an old price into the AI, and now every customer who asks gets the wrong answer. Canned responses drift because nobody owns them once they're written.
When our AI gives a wrong answer, the source behind it is usually out of date, ambiguous or missing. So review the library before you bring it in, and make sure there's one place to fix an answer when the policy changes. Before you plan a Fin rollout, read Intercom's knowledge sources table: it shows, row by row, which content Fin can use and which only Copilot, the assistant for your agents, can use.
How does Intercom Fin reply to a customer end-to-end?
Intercom says "You can deploy Fin AI Agent to all your inbound support channels" in its channel guide, and the list goes from Messenger and email to phone, WhatsApp, social, SMS and Slack. Over email, Fin puts its answer and its follow-up questions into a single message, according to its email setup guide. That reach is why Fin takes the only 10 on replying to customers itself (we reply on email, chat and the social conversations a helpdesk passes to us).
In Intercom's knowledge sources table, the macro row reads "No" for Fin and "Yes" for Copilot, and snippets read "Yes" for both. So Fin answers customers from snippets, articles and other sources, PDFs included. Fin scores 6 on using your existing canned responses, because your team moves the approved wording into snippets or uploads the exported library as a PDF.
For an Intercom team, I think that's the one real job before launch, and the answers about money are the place to start.

Intercom lists Anthropic and Lightspeed among Fin's customers on its customers page, where Givebutter says Fin "handles more than 5K conversations a month and completely resolves 50% of them".
How does Intercom Fin price for 2,000 tickets a month?
Fin costs $0.99 for each support outcome, such as a resolution, with a 50-outcome monthly minimum, according to Fin's pricing page. An outcome is charged once per conversation (a plain pass to your team with no outcome isn't charged). On the 60% resolution rate we use for every tool, that's 1,200 outcomes, or $1,188 a month in AI charges before any Intercom seats, and the minimum doesn't come into play.
The bill grows with every conversation Fin resolves. At $1,188, the second-highest AI charge here, Fin scores 6 on cost.

For me, the strength here is control. Zendesk lets you write the exact reply for a topic, which suits teams with a lot of regulated or policy-heavy answers.
How do Zendesk AI agents reply to a customer end-to-end?
Zendesk's AI agents run on messaging and on email, including web forms, according to its guide to where AI agents run. Its email replies guide says generative email replies are available on all Suite and Support plans without messaging set up, and AI agents on messaging need Zendesk messaging, which the Suite plans include. Its email channels guide sets the default email trigger so the AI agent "responds to subsequent comments in a ticket", so follow-ups in the same thread are covered and I give replying a 9.
Zendesk's suggested macros guide describes the feature as "AI-powered suggestions that help agents find the right macros to apply to the tickets they're currently working on". The knowledge-source list for AI agents names Zendesk help centers and external knowledge sources, and macros aren't on it. So your macros keep helping agents while the AI agent answers from your help center.
For the AI agent, your team rewrites the macros it wants as scripted replies or brings the library in as a document. Zendesk's AI agents page mentions "external sources like Google Drive or PDFs", and its knowledge sources guide says external content comes in "through a web crawler or a knowledge connector". Either route needs your team to choose and move the answers, so I give Zendesk a 6 on the library row.
Scripted replies earn Zendesk its 9 on approved answers. You write a reply for a use case, and the AI agent sends that script when it detects the use case, as the replies guide explains. Generative procedures cover the questions you'd rather it answered flexibly. For refund and cancellation answers, where a loose paraphrase can create a second ticket, I prefer scripted replies.
Generative replies draw on your help center content and cover a published list of languages. With follow-ups answered on email by the same trigger, answering the actual question is a 9 as well. Handing over earns a 9: the AI agent transfers to a human agent, and on messaging the conversation history is added to the ticket when it escalates (we summarize the conversation for your agent at handover too). Suite Team is $69 an agent a month paid monthly and includes 5 automated resolutions per agent each month, according to Zendesk's pricing page. I've assumed 5 agents, so 25 resolutions are included, and the other 1,175 cost $2.00 each pay-as-you-go, or $2,350 a month. Committing up front drops the rate to $1.50 and the bill to $1,762.50.
The five Suite Team seats ($345) come on top. At $2,350 pay-as-you-go, the figure in the cost table, and still at the committed $1,762.50, it's the highest bill here, which is why Zendesk takes the lowest cost score in the set, a 3.

The Email AI Agent replies to customers itself and follows up in the same thread, according to Freshdesk's Email AI Agent setup guide. Chat, WhatsApp, Instagram and Messenger go through the Chat AI Agent on Freshdesk Omni, as its chat setup guide shows. Sending on both channels is worth a 9 (Intercom Fin's longer channel list takes the 10).
The AI Agent's knowledge types, as Freshdesk's knowledge sources article lists them, are URLs, files, solution articles, custom Q&As and apps. Canned responses aren't on that list.
Freshdesk's canned response suggester guide says "Freddy AI can recommend existing canned responses based on similar past tickets, frequency of use, and ticket resolution status". Those suggestions go to a human agent on a Copilot license, so Freddy scores 6 on the library row.
The workaround I recommend is copying your most-used canned responses into custom Q&As before launch.
Those Q&As hold approved answers as one knowledge type among several. Freddy scores 8 on sticking to them, level with Fin and a point behind our Custom Answers. The email agent reads the whole thread and detects the customer's language, as the setup guide describes, and each reply counts against a daily message limit. That cap on follow-ups is what holds answering the actual question to 8.
Freddy scores 9 on handover. The agent hands over on frustration, a request for a person, a failed workflow, a turn limit, negative feedback or a confidence threshold. It also adds a private summary note for your agent (our handover summarizes the conversation too), as Freshdesk's handover guide sets out.

Freshworks says FCLG Company Vehicles' Freshdesk Omni Email AI Agent "fully resolves one in four tickets it answers" in its FCLG story. Freshworks also says Total Expert uses Freddy AI Copilot and AI chatbots.
How does Freshdesk Freddy AI price for 2,000 tickets a month?
Freddy AI Agent sessions cost $49 per 100 (the first 500 are a one-time allowance per account), according to Freshdesk's pricing page. The page defines the email session: "In Freddy AI Agent Studio, an Email AI Agent session is defined as a 72-hour window starting from the customer's first email."
I've assumed each of your 2,000 tickets opens one session, the cautious reading of that definition, so that's 20 packs and $980 a month, charged whether the AI resolves the ticket or not. The Email AI Agent needs Growth or above, and chat needs Freshdesk Omni (Omni Growth is $35 an agent a month billed monthly), which I haven't added. A mid-table bill, plus Omni seats for chat, is why Freddy's cost score stops at 7.

HubSpot's deploy guide lists Facebook, WhatsApp, calling (in beta), live chat, forms, email and custom channels. That covers email and chat on the plan I priced, which is enough for a 9 on replying.
For content, HubSpot says "You can sync knowledge base articles, website pages, landing pages, and blogs", alongside public URLs, files and short answers you write by hand, in its content sources guide. Snippets and templates aren't named as a customer-agent source on that page or the setup pages, so HubSpot has a 6 for the library.
Short answers plus guidelines for persona, tone and boundaries steer the agent, and HubSpot's guidelines article notes that responses "may not always exactly match the specified formatting or wording". That caveat is what costs HubSpot a point on approved answers, leaving it on 8. Its setup guide says the agent either answers from a verifiable source or asks a follow-up question to clarify (I like that it asks). HubSpot's setup, guidelines and content-sources articles don't say how it handles the customer's language, though, so answering the actual question also comes to 8.
Its handover rates a 9, with a choice of live or async handoff. HubSpot's handoff settings say "By default, the customer agent hands off the conversation to a human when it can't answer the question, the visitor requests to speak to a human, or the agent is paused". Outside HubSpot it doesn't run at all, which is why helpdesk fit stays at 4, the same score we give Freddy and Zendesk.

HubSpot says "Synergym used HubSpot's Breeze Customer Agent to resolve 85% of member support requests autonomously" in its Synergym case study. That figure is HubSpot's.
How does HubSpot price for 2,000 tickets a month?
The customer agent "uses 50 credits ($0.50) when it resolves a conversation without help from a human", according to HubSpot's credits page. At the 60% resolution rate we've used throughout, that's 1,200 resolutions and $600 a month in AI charges.
Service Hub Professional is $100 a seat a month (billed monthly on an annual commitment), with a one-time $1,500 onboarding fee, and I haven't added either. Its 3,000 HubSpot Credits aren't netted off, because they're shared across HubSpot's AI features. HubSpot has the lowest price of the tools that charge per resolution, and the Professional plan it needs holds its cost score to 8.

I think this is the strongest answer in the post to what happens to your library. One catch: the Zendesk quick-start route reads only your public help center, so pick the full connection if you want the macros.
Corrections become plain-sentence rules your team can edit, according to eesel's instructions docs. For a question about money I want a set answer that comes out the way it was approved, so I score eesel's rules 8 on approved answers. It answers from past tickets and your help center, and it replies in the customer's language without you translating the help center. Its Freshdesk docs list follow-up handling when a ticket is updated, so answering the actual question scores 9.
A chat is transferred by creating a Zendesk ticket with the fields filled in, and it hands over automatically when a chat goes idle. That puts the customer one step away from the conversation they started, so handover drops to 8. I see that as a small price for a team whose chats already end as tickets.

Every row uses the same basis: 2,000 tickets a month, 1,200 by email and 800 by chat, and a 60% resolution rate (1,200 tickets) wherever a vendor charges per resolution or outcome. Export your canned responses and ask an AI tool to group them by topic and flag any that mention prices, dates or time windows. That's under an hour for most libraries, plus the time to read what it flags.
Bring in the answers behind your ten most common tickets first, as set answers your team owns.
Run replies as internal notes for a week or two (in My AskAI that's internal-note mode), and fix anything that reads wrong.
Let the AI send on one ticket type at a time, on email or chat, and widen it as each one holds up.
That last step is the route the creator-monetization platform describes: prove the drafts on one query type, then consider direct replies there. Don't skip the library review, because the AI will repeat whatever your old canned responses still say.
