What does automating billing support require?

1. It can see the customer's billing record

To answer a billing question, the AI needs the customer's live record:
  • the plan they're on and how many seats they pay for
  • the renewal date and when the next bill lands
  • recent invoices and charges
  • whether the last payment went through
Without it, the AI can only recite the pricing page, and a person still has to open the billing tool and look the customer up. That lookup is most of the work in a billing ticket, so a tool that skips it saves your team very little.

2. It explains a charge in plain words

A mid-cycle upgrade and its proration, added seats, tax, a renewal at a new price or a one-off charge can each make a bill differ from the list price. The AI has to work through the customer's own charges and say which one explains the difference, in a sentence the customer can check against their statement. The same job covers "what will my next bill be, and when?" When the question arrives as a screenshot of a bank statement or receipt, the AI has to read the image, so I count that as part of this job.

3. It sends the invoice and fixes billing details

Resending an invoice or receipt, adding a VAT or tax ID, or changing the billing address on future invoices are small jobs. The AI has to do these jobs in the billing tool, with a confirmation from the customer or a sign-off from your team first if you want one. Until the change is made, the customer's finance team waits to pay you.
Most billing tools also offer a hosted customer portal where customers download invoices and update their billing information themselves, and some let customers add their own tax ID there. When a change needs no judgment from your team, I think sending the customer to that page is a good answer.

4. It sorts out a failed payment without taking card details

When a card is declined, the customer wants to know why it failed, what happens next and how to fix it. The AI should explain the failure as far as the billing record shows it, say when the payment will be tried again, and send the customer to your secure page to update their card. It should never ask for a card number or accept one typed into the chat. I treat any tool that does as an instant no.
The card industry's security rules prohibit sending unprotected card numbers over chat and other messaging, and a chat channel that's used to collect them then has to be protected under the full standard. Keeping card numbers out of the chat altogether is the simple way to stay clear of both. 5. It checks it's talking to the account owner

Invoices and billing details belong to the account owner or the billing contact. Before the AI shows a charge or sends an invoice, it needs to know who it's talking to,

Some billing conversations should leave the AI quickly, and a customer typing "chargeback" is the clearest sign of one. A disputed charge, a customer who mentions their bank or a chargeback, a refund demand and anyone who asks for a person should reach your team (or your refund process) with the conversation so far attached. The AI needs topic rules for these, a route to a person that's always open, and a summary so nobody asks the customer to start again.

Intercom Fin is four points behind on 62. It's level with us on the first three jobs and a point ahead on the account-owner check, thanks to its emailed one-time code. Its ready Stripe templates need a US-hosted workspace, and each outcome costs $0.99.
Chatbase is third on 57 and the cheapest at $150 a month. It suits teams whose signed-in customers ask billing questions in a web chat widget.

Where does billing support automation go wrong?

Failure mode 1: It answers from the pricing page instead of the invoice

The customer asks why they paid $61. The AI says the plan is $49 a month and stops there, because it never read the invoice that explains the other $12. The ticket comes back to your team, and someone still has to open the invoice.
A support thread on AI agents points to billing as the place an agent needs information from the billing system itself (the customer's own invoice).
What good looks like: the AI reads the customer's own record and walks through the charges. Where it can't see the record, it says what it can check and hands the ticket over. In a demo, ask the vendor to answer "why was I charged this?" for a real test customer.

Failure mode 2: Billing details reach the wrong person, or card numbers land in the chat

An invoice goes to someone who isn't the billing contact, or the AI asks a customer to type their card number so it can "update" it. The first shares a customer's billing details with a stranger. The second pulls card numbers into a channel that card-industry guidance says they must not travel through unprotected.
What good looks like: the AI checks it's talking to the account owner before it shares anything, and every card change goes through your secure payment page. In a demo, ask the AI to update a card and watch what it asks for.

Failure mode 3: It keeps explaining when the customer is already disputing

The customer writes "I'm calling my bank", and the AI explains the charge a second time. A dispute is the account owner contesting a payment with their bank, and good, early customer service is one of the ways to head one off. Once the customer has reached that point, another explanation from the AI makes the chargeback more likely.
My view is that it should always be easy to reach a person: when a customer asks for one, when the AI can't answer, when they sound frustrated, or when the topic is one a person should handle. A practitioner in a support thread said this about billing:

How does Intercom Fin handle a billing question end to end?

Fin connects to Stripe with prebuilt connector templates that read payment history, subscription status and invoice details, and can take actions such as refunds and cancellations. Intercom notes the templates are "Currently available for US-hosted Intercom workspaces only," so a workspace hosted elsewhere builds its own data connector. That's a 9 on seeing the billing record.
Fin runs multi-step billing jobs through Procedures. Intercom's Procedure templates confirm the scheduled charge date and payment status, which earns an 8 on explaining a charge. Walking a customer through proration is a Procedure you write yourself.
For changes, a Procedure can pause for a teammate's approval and then carry on, and Intercom's example is a billing-cycle change. I'd use that for any change to what a customer pays, since your teammate only signs off and Fin still makes the change. That's an 8 on sending invoices and fixing details. eesel AI is a point higher because resending an invoice is one of its ready actions.
Failed payments are a 7. Procedures read payment status, and you can test them against mock "Payment Failed" responses before going live. Sending the customer to a secure page to update their card is a step you add to the Procedure yourself.

Rocket Money, the personal finance app, uses Fin across its support. Its story says that in email-based billing management, Fin was exceeding human performance, consistently delivering CSAT above 80%.
