# An AI agent management console for support teams

## The support case

**Worked example (fictional).**At Northstar, the fictional online shop used throughout this guide, a support lead rewords the cancellation guidance on the same afternoon an engineer changes a tool schema. The next morning, cancellations start failing. Without a release record showing which versions were live together, the team can’t tell which change caused it, or whether it took both.

## Organize the console around decisions

Different people own different parts of an agent. Support staff decide tone, when to ask a clarifying question, when to hand over, which answers are approved and how procedures should run. Engineers own tool contracts, credentials and what the agent is technically allowed to execute. A single prompt text box gives neither group a clear view of what they own or what a change will affect.

Start with separate screens or records for knowledge, guidance, tasks, tools and conversation inspection. Give each item a purpose, an owner, a status and the tests linked to it. Always show which version is live, so nobody mistakes a draft for current behavior.

This does not have to be a big build. A company running one agent for its own customers can usually add these records to the admin system it already has. A full multi-tenant dashboard is mainly needed when you plan to offer the agent to other companies.

Built into My AskAI

Choose who can manage your AI agent

My AskAI lets you choose which teammates can manage your AI, and give others Insights-only access so they can review results and test replies without changing settings.

[See guardrails](https://myaskai.com/features/guardrails)

## Keep a settings register

Some settings can do real damage if they are switched on carelessly, such as letting the agent reply publicly or close conversations automatically. List each one in a register with its owner, a safe default and the check that proves it behaves as intended. The safe default is what the setting falls back to when nobody has made a decision yet.

| Setting | Owner | Safe default | Linked check |
| --- | --- | --- | --- |
| Reply mode | Support lead | Internal test or limited cohort until release | No public response in notes mode |
| Auto-close | Support lead | Off until timing and evidence are agreed | New message or takeover suppresses stale closure |
| Permitted tool actions | Engineering and policy owner | Only the approved scope | Denied resource and action-limit tests |
| Source audience | Knowledge owner | Unknown visibility is restricted | Anonymous restricted-content test |
| Model and prompt version | Quality and engineering | Last approved configuration | Functional pack and comparison record |

No build needed

Permissions, audit logs and deletion controls included

My AskAI's dashboard includes granular permissions, audit logs and data deletion controls, so you don't have to build them yourself.

[See security](https://myaskai.com/features/security)

## Use one path from draft to release

Every change should follow the same route. The editor creates a draft and writes a line about what the change is meant to do. The console shows a before-and-after comparison and the test cases the change may affect. The editor runs the focused checks, someone reviews the result, and the change is published as a new version with a named owner. The previous version stays ready, so rolling back is a quick switch rather than an emergency rewrite.

Apply that same path to edits proposed by an AI assistant and to suggested learnings from past conversations. Generated content is a proposal, and it must pass the same role checks as a human edit, even when another agent produced it. If two people edit the same item at once, detect that the second edit was based on an outdated version and ask them to merge, rather than silently overwriting the first person’s work.

A release record should link the knowledge, guidance, task, tool and model versions that were live together. If parts of your system can be released independently, record which combinations are compatible and which combination answered each conversation. The goal is to be able to reproduce any decision the agent made, not to force a full deployment for every wording change.

## Make the preview safe and useful

A preview lets someone try a draft in a test conversation before customers see it. It should say clearly which draft and which environment it is running against. Use synthetic customer identities and fixtures, stand-in tool responses with known outcomes, by default. A preview button must never call a real refund endpoint with production credentials.

Show more than the reply. Show which sources were selected, which task was chosen, the tool arguments after trusted fields such as the account ID were filled in by the server, and the outcome the fixture returned. Let support compare the old and new versions on the same test case. Keep credentials out of the display, and label clearly whether a tool result is simulated or came from a real integration test.

My AskAI does this for you

Preview answers on real past tickets before launch

Import up to 50 historic tickets from your helpdesk as a test suite, add your own questions and see how the AI would respond before any customer does. Re-test as soon as you change knowledge or guidance.

[See Testing and QA](https://myaskai.com/features/testing-and-qa) [See pricing](https://myaskai.com/pricing)

## Let teams inspect a specific answer

When a customer or teammate questions an answer, the investigation should start from a ticket or conversation ID. Show the exchange the customer saw next to a timeline of evidence: the source versions retrieved, the guidance and policy applied, the tool results and whether the reply was actually delivered. Describe recorded decisions in plain language. A model’s after-the-fact explanation of its reasoning is not an audit trail, so don’t present it as one.

Later, you can add an inspection assistant that lets a support lead ask questions like “Why did it transfer this case?” in plain language. My AskAI’s public Echo documentation describes this kind of product. If you build one, limit it to the data the operator is already allowed to see, and send any fix it proposes through the same draft and release path as a manual edit.

## Build decisions and checks

Use these decisions to turn the worked case into your own implementation. A check is complete only when you have evidence for the stated result.

### Make content editable by its owner

**Required.**A prompt file makes engineers the gatekeepers for routine support changes.

**Build.**Give owners forms for source content, guidance, handover rules and tasks, and show where each rule applies. Support owns wording and policy; engineering owns tool contracts. Start from an existing internal admin tool where you can.

**Check.**A support manager can edit a draft and find everywhere it's used.

### Control drafts, review and release

**Required.**One accidental edit can affect every conversation at once.

**Build.**Add draft, preview, test and publish states. Record who changed what and why, and keep revision history and rollback. Use role-based permissions for tools, secrets and policy changes. Freeze the configuration version for each run. Keep a settings register listing each setting's effect, owner, safe default and linked test. Human edits, AI-proposed edits and candidate learnings all go through the same role checks and the same draft, test, publish and rollback path.

**Check.**Publish a harmless test change, find its audit record, then restore the previous version.

### Provide a safe test conversation

**Required.**A preview can send a real email or issue a real refund by accident.

**Build.**Use separate test credentials and data. Simulate write tools or use the provider's sandbox. Show the active configuration and test status. Let reviewers inspect sources, tool calls and the reasons for any transfer.

**Check.**A preview can't send a production message or change a production customer record.

### Help teams investigate an answer

**Later.**Raw model logs are hard for support teams to interpret.

**Build.**Start with a readable conversation timeline and source links. Later, add a question interface that can look into evidence the user is authorized to see. It must separate observed facts from guesses and ask for explicit approval before any edit.

**Check.**A reviewer can explain a synthetic failure from the evidence shown. The interface can't reach another team's records.

### Would rather not build this part?

My AskAI gives your team a dashboard for knowledge, guidance, tasks and tools, plus Echo, an AI copilot inside it. You can ask Echo to update knowledge or build a task in plain language, inspect a conversation to see which sources and guidance were used, and ask why the AI replied the way it did.

[See how Echo works](https://myaskai.com/features/echo-agent)

## Templates and examples

Every file uses synthetic data. Adapt it to your own policies and test it somewhere safe before it touches customers.

## Keep it working

Launch is the start of the work, not the end. These are the recurring jobs this part of the agent needs, and who usually owns them.

| Cadence | Owner | Work |
| --- | --- | --- |
| Monthly | Support lead | Review unused rules, confusing fields and editing bottlenecks. |
| Weekly | Service owner | Review changes and who holds which permissions. |
| On change | Engineering | Refresh the test cases when support policy changes. |
| Weekly | Support lead | Review how accurate the explanations are and whether the evidence links work. |

## Test your decision

An inspection assistant finds a missing policy and offers to publish it. Should publication use a separate shortcut?

**Show the expected decision**

No. Put the proposed change into the normal draft, test, review and publish flow, and keep the evidence that prompted it along with a named owner. An assistant that explains answers should never quietly change what future customers are told.

## Common questions

**Do I need to build a custom console?**

No. Use an existing admin UI if it supports ownership, access control, drafts, tests, history and rollback. Build only the parts of the workflow it is missing.

**Should non-engineers edit agent behavior?**

Yes, within their role. Support leads should be able to change tone, guidance and support policy without waiting on an engineer. Sensitive tools, credentials and execution permissions need separate, stricter controls.

**What is the first thing to build?**

Version history with rollback, and a release record of which versions were live together. Without those, every other feature makes changes faster without making them safer.
