# How to build an AI support agent

Getting a model to write a good reply is the easy part. This playbook covers the rest: the helpdesk events, permissions, knowledge, tools, tests and on-call work that make an AI support agent safe to put in front of customers, and keep it improving after launch.

4–10 model calls behind every reply

Each step that rewrites, searches, checks or drafts can call a model, and every call carries the instructions, evidence and conversation again. That loop, not one call, is what you pay for. [Guide 02: plan the running cost](https://myaskai.com/build-ai-support-agent/ai-support-agent-llm-costs).

### The customer corrects the order number

1. **New message.** Store the correction in conversation order.
2. **Supersede.** Mark the previous work as stale. Cancel it where possible.
3. **Check authority again.** Verify access to the corrected order.
4. **Recheck writes.** Do not let the old run change the original order after the correction.
5. **Respond once.** Use the current message version and discard the old answer.

[Guide 04: Handle a changing conversation](https://myaskai.com/build-ai-support-agent/ai-agent-conversation-state)

### A human replies while the agent is working

1. **Observe takeover.** Update the conversation owner under the defined policy.
2. **Stop pending work.** Cancel automated replies and follow-ups. Stop uncommitted actions where possible.
3. **Reconcile active actions.** Record any action already completed or still uncertain.
4. **Deliver context.** Give the human the useful facts and actual tool results.
5. **Stay paused.** Resume only under a deliberate return-to-AI rule.

[Guide 04: Handle a changing conversation](https://myaskai.com/build-ai-support-agent/ai-agent-conversation-state)

### A refund call times out

1. **Record uncertainty.** Keep the operation ID and request receipt.
2. **Do not replay blindly.** Pause the action path.
3. **Read back.** Check the provider status using the operation ID where supported.
4. **Resolve or transfer.** Report confirmed success or failure. Hand unresolved cases to an owner.
5. **Recover safely.** Resume only after the outcome and permitted next action are known.

[Guide 09: Build safe tools and APIs](https://myaskai.com/build-ai-support-agent/safe-ai-agent-tools-and-apis)

### The main model provider fails

1. **Classify failure.** Distinguish rate limits, timeout, invalid request and provider outage.
2. **Respect budget.** Use only the permitted bounded retry.
3. **Use a tested route.** Select an approved fallback configuration with compatible tools and state.
4. **Degrade safely.** If no tested route exists, delay or transfer with an honest message.
5. **Label the outcome.** Log the actual model and fallback for operations and experiment analysis.

**Why 10 LLM calls?** Each reply runs query rewriting, retrieval reranking, groundedness checks, and answer validation. It's why our raw cost per reply is ~3–4× a naive build's — and why the resolution gap exists.

My AskAI pricing mirrors the calculator at [myaskai.com/pricing](https://myaskai.com/pricing): Pro $199/mo (~1,000 tickets included), Scale $499/mo (~2,000 included), Enterprise from $999/mo with negotiated volume rates. ### Saved by choosing My AskAI

$142,212

over 12 months, compared with building it yourself — including the build cost and the resolution-rate gap

#### Self-build set-up cost

$95,202

$30,000 of engineering + $65,202 of savings missed during the 2-month build, when you could already be live on My AskAI.

#### A self-build must hit

How this is worked out The math: Building saves $4,299/mo on software ($4,899 My AskAI − $600 LLM costs), but adds $1,500/mo of upkeep → $2,799/mo advantage. Each resolution point is worth $500/mo (1% of 30,000 tickets × $1.67). $2,799 ÷ $500 = 5.6 points of headroom. 75% − 5.6 = 69.4% to break even.

69% resolution

just to break even versus My AskAI (at 75%).

#### Time to go live

Days vs 2 months

My AskAI deploys in days; the build answers nothing until v1 ships.

### Monthly cost, side by side

| | Humans only | My AskAI | Self-build |
| --- | --- | --- | --- |
| Monthly tickets | 30,000 | 30,000 | 30,000 |
| AI resolution rate | — | 75% | 60% |
| Tickets resolved by AI | 0 | 22,500 | 18,000 |
| AI software / LLM cost | $0 | $4,899 | $600 |
| Engineering upkeep | $0 | $0 | $1,500 |
| Tickets still needing humans | 30,000 | 7,500 | 12,000 |
| Cost per human-handled ticket | $1.67 | $1.67 | $1.67 |
| Human support cost | $50,000 | $12,500 | $20,000 |
| Total monthly cost | $50,000 | $17,399 | $22,100 |
| Monthly savings vs humans only | — | $32,601 | $27,900 |

On top of this, the self-build needs 2 months and $30,000 of engineering before it answers its first ticket — My AskAI goes live in days. The headline number above includes both.

### What else comes with building

None of this is priced into the numbers above.

- **Maintenance, forever.** Model deprecations, helpdesk API changes, knowledge-base drift, prompt regressions. The 0.2-FTE default is the steady state, not the bad month.
- **Focus.** The engineers on this aren't shipping your roadmap. An internal support agent becomes a product with one customer, a backlog, and an on-call rota.
- **Model churn.** A new frontier model lands every few months. Each swap means re-running evals, retuning prompts, and revalidating edge cases — or falling behind on quality and cost.
- **Evals and guardrails.** The demo is the easy 20%. Groundedness checks, hallucination containment, and QA against real tickets are the long tail that takes the months.
- **The agent is only half the product.** Around the AI itself sits a platform: dashboards showing what got resolved and what didn't, tools to test changes safely, spot knowledge gaps, and tune guardrails. A self-build ships the agent without the controls for managing and improving it — or you build those too.
- **A widening gap.** A vendor ships improvements weekly — integrations, task execution, analytics, resolution-rate gains learned across hundreds of customers. A solo build only improves when someone works on it.

## Questions about building an AI support agent

**How long does it take to build an AI support agent?**

A demo that answers from a help center can take days. A version you can trust with real customers takes much longer, because most of the work is in helpdesk delivery, permissions, testing, recovery and the people who run it after launch, not the model call. Build a thin end-to-end version for one support case first, then estimate the rest from the gaps it exposes.

**Should we build or buy an AI support agent?**

Build when support automation is part of your product and you can staff engineering, QA and on-call for it for years. Buy when you want the result inside your helpdesk without that ongoing work. The Build vs Buy calculator on this page compares the two with your own ticket volume and costs.

**Do I need a multi-agent system or an agent framework?**

Usually not to start. A direct model SDK, one durable worker, your existing database and a clear control flow cover most first versions. Add a framework or another agent only when it removes a real problem you can measure, such as state recovery or tracing.

**Is this playbook specific to My AskAI?**

No. The guides describe generic responsibilities, not My AskAI internals, and list several provider options for each component. Where My AskAI offers a part ready-made, a short note at the end of the guide says so.

**Is the example code production-ready?**

No. The examples are short teaching files with synthetic data that run locally and make no network calls. They show one pattern each (webhook signatures, access checks, response filtering, metric arithmetic) and state their limits. They are not a complete agent.

**Who is this playbook for?**

Engineers building or evaluating an in-house AI support agent, and support leaders who need to know what a safe launch looks like and what the team will have to keep doing afterwards.

## Rather skip the build?

My AskAI is an AI support agent that already does all of this inside Zendesk, Intercom, Freshdesk, Gorgias and HubSpot. Set it up in minutes and pay per AI reply: $0.05 on the Scale plan, with models, hosting and maintenance included.
